READYHAUL PRIVACY POLICY

ReadyHaul ("ReadyHaul," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you access or use our website, web application, mobile interfaces, and related services (collectively, the "Platform"), or when you otherwise interact with us.

By using the Platform, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, you must not use the Platform.

1. SCOPE

This Privacy Policy applies to:

  • Visitors to our website;
  • Users who create accounts on the Platform, including Haulers and Shippers;
  • Individuals who receive communications from us, such as emails or SMS messages.

It does not apply to information collected by third parties, including carriers, shippers, payment processors, or other websites or services that may be linked from our Platform. Those third parties have their own privacy policies.

2. INFORMATION WE COLLECT

We collect information that you provide to us directly, information collected automatically when you use the Platform, and information from third parties.

2.1 Information You Provide Directly

When you use the Platform, you may provide us with:

Account and profile information

  • Name
  • Business name and contact information
  • Email address
  • Phone number (including mobile number)
  • Physical address (business or residential)
  • Username and password

Business and compliance information

  • DOT, MC, or similar regulatory identification numbers (where applicable)
  • Driver's license or other identification information (if requested)
  • W9 tax documentation
  • Vehicle, equipment, and fleet details (e.g., VIN, license plate, vehicle type)

Automatically retrieved compliance information

When you provide your DOT number, we may retrieve the following information from the Texas Department of Motor Vehicles (TxDMV) public records during onboarding, administrative compliance review, and periodic re-verification:

  • Insurance carrier name
  • Insurance policy status (e.g., in force or not in force)
  • Policy effective and expiration dates
  • Company name as registered with TxDMV

Job and transactional information

  • Load and job details (pickup and delivery locations, schedules, job history)
  • Rates, pricing, and payment details you agree to with other users
  • Communications and documentation related to specific jobs

Communications with us

  • Messages you send to our support team
  • Feedback, surveys, or other content you submit
  • Preferences for notifications, communications, and marketing

2.2 Information Collected Automatically

When you access or use the Platform, we may automatically collect:

  • Usage data: pages viewed, links clicked, time spent, features used, referring URLs.
  • Device and log information: IP address, browser type and version, operating system, device identifiers, access times, and error logs.
  • Location information: Approximate location based on IP address, and more precise location if you enable location services in your browser or device settings.

We may use cookies, web beacons, and similar tracking technologies to collect and store some of this information.

2.3 Information from Third Parties

We may receive information about you from:

  • Business partners and users: For example, a Shipper may provide your contact information when they invite you to join the Platform as a Hauler, or vice versa.
  • Service providers: Payment processors, identity verification services, analytics providers, and communication providers (such as SMS gateways) may provide us with information related to their services.
  • Regulatory databases: We retrieve insurance and compliance information from the Texas Department of Motor Vehicles (TxDMV) using your DOT number, including insurance carrier, policy status, effective and expiration dates, and registered company name. We may also confirm other business information (e.g., MC numbers, company addresses) from public records or other regulatory databases.

We may combine information from these sources with information we collect directly and automatically.

3. HOW WE USE YOUR INFORMATION

We use the information we collect for a variety of business purposes, including to:

3.1 Operate and Improve the Platform

  • Provide, operate, maintain, and secure the Platform.
  • Create and manage user accounts.
  • Facilitate the posting, discovery, and management of hauling opportunities.
  • Process and track jobs, loads, and related activities.
  • Develop new features, products, and services.
  • Monitor and analyze usage, trends, and performance.

3.2 Communicate with You

  • Send transactional communications, such as registration confirmations, account notices, password resets, and service updates.
  • Send operational SMS and email messages related to hauling opportunities, job status, cancellations, and important time-sensitive updates.
  • Respond to your inquiries, support requests, and feedback.

3.3 Safety, Compliance, and Fraud Prevention

  • Verify identity or eligibility where appropriate.
  • Verify insurance status automatically through DOT number records filed with TxDMV, and track compliance documentation such as W9 forms.
  • Detect, prevent, and address fraud, abuse, security incidents, and other harmful or unlawful activity.
  • Comply with applicable laws, regulations, legal processes, and law enforcement requests.

3.4 Marketing and Business Development

  • Where permitted by law and your preferences, send you information about features, news, promotions, and other marketing communications related to ReadyHaul.
  • Analyze and improve our marketing and outreach efforts.

You may opt out of marketing emails at any time by following the unsubscribe link in the email or contacting us. Opting out of marketing communications will not affect transactional or service-related communications.

4. SMS TEXT MESSAGING

If you provide your mobile number and opt in, we may send you SMS text messages for:

  • Account verification and security;
  • Job opportunities and scheduling;
  • Job status updates, changes, and cancellations;
  • Important Platform or account notifications.

Message frequency may vary depending on your activity and settings. Message and data rates may apply from your mobile carrier.

You can opt out of SMS messages at any time by replying STOP to any message from us. You may also reply HELP for assistance or contact us at support@readyhaul.net.

We may still send you messages where we are required to do so under law or where necessary for important service notifications.

5. COOKIES AND TRACKING TECHNOLOGIES

We use cookies and similar technologies to:

  • Remember your preferences and settings.
  • Keep you logged in during your session.
  • Understand how the Platform is used and improve performance.
  • Support security and fraud detection.

You can adjust your browser settings to refuse cookies or to alert you when cookies are being sent. If you disable cookies, certain features of the Platform may not function properly.

6. HOW WE SHARE YOUR INFORMATION

We may share information about you in the following circumstances:

6.1 With Other Users of the Platform

To facilitate jobs and interactions on the Platform, certain information may be visible to other users, such as:

  • Your name and/or business name;
  • Contact information (e.g., phone number, email) as needed to coordinate jobs;
  • Job history and performance information related to work performed through the Platform;
  • Insurance status and compliance information retrieved from TxDMV records via your DOT number, as needed to support job-related decisions.

We limit the information shared to what is reasonably necessary to support job-related decisions and coordination.

6.2 With Service Providers

We may share information with third-party vendors, consultants, and other service providers who perform services on our behalf, such as:

  • Hosting and infrastructure;
  • Payment processing;
  • SMS, email, and other communication services;
  • Analytics and performance monitoring;
  • Identity verification or compliance tools;
  • Customer support tools.

These providers are authorized to use your information only as necessary to provide services to us under appropriate contractual protections.

6.3 For Legal, Safety, and Security Reasons

We may disclose information if we believe in good faith that such disclosure is reasonably necessary to:

  • Comply with any applicable law, regulation, legal process, or government request;
  • Protect the rights, property, or safety of ReadyHaul, our users, or the public;
  • Enforce our Terms and other agreements or policies;
  • Detect, prevent, or address fraud, security, or technical issues.

6.4 Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, receivership, sale of assets, or transition of service to another provider, your information may be sold or transferred as part of that transaction, subject to any applicable legal requirements.

6.5 With Your Consent

We may share your information with other parties when you request or direct us to do so, or when you expressly consent to such sharing.

We do not sell your personal information for money. If we engage in practices that may be considered a "sale" or "sharing" of personal information under certain privacy laws, we will provide any required notices and choices.

7. DATA RETENTION

We retain personal information for as long as reasonably necessary to:

  • Provide the Platform and fulfill the purposes described in this Policy;
  • Comply with legal, tax, or accounting obligations;
  • Resolve disputes and enforce our agreements.

The specific retention periods may vary depending on the type of information and the context of its collection. When information is no longer needed, we may delete, anonymize, or aggregate it in accordance with our data retention practices and applicable law.

Marketplace audit records. Because ReadyHaul operates as a neutral listing and matching service (not a broker, dispatcher, or freight forwarder), we keep an internal audit record each time a Shipper opens an accepted job's hauler contact view. That record captures the Shipper account, the job, the timestamp, the hauler's then-current Texas DMV insurance snapshot (status, last-checked date, carrier, policy expiration, and any pending cancellation), and the version of the Terms of Service the Shipper had accepted at the time. This logging is silent — it is not displayed to the Shipper and is not shared with the hauler. We retain these records for the life of the account plus the period required to resolve disputes, comply with applicable law, and document that the Shipper, not ReadyHaul, selected and accepted the hauler.

We similarly log Shipper-initiated decisions to decline a previously accepted hauler and reopen the job to the marketplace, and the Shipper's acceptance of each updated version of the Terms of Service.

8. DATA SECURITY

We use reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, loss, misuse, or alteration.

However, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee absolute security of your information.

You are responsible for maintaining the confidentiality of your account credentials and for any activities occurring under your account. Notify us immediately if you believe your account has been compromised.

9. CHILDREN'S PRIVACY

The Platform is not directed to children under the age of 18, and we do not knowingly collect personal information from children under 18.

If we learn that we have collected personal information from a child under 18 without appropriate consent, we will take steps to delete that information. If you believe we may have collected such information, please contact us at support@readyhaul.net.

10. YOUR CHOICES AND RIGHTS

Depending on your location, you may have certain rights regarding your personal information, such as:

  • The right to access and obtain a copy of your personal information.
  • The right to request correction of inaccurate or incomplete information.
  • The right to request deletion of your personal information, subject to legal and contractual restrictions.
  • The right to object to or restrict certain processing, or to withdraw consent where processing is based on consent.
  • The right to opt out of certain marketing communications.

You can exercise some of these rights by:

  • Updating your account information in your profile settings;
  • Adjusting your email or SMS preferences;

We may need to verify your identity before responding to certain requests and may deny requests where allowed by law (for example, if fulfilling the request would interfere with legal obligations or legitimate business needs).

10.1 State Privacy Rights

If you are a resident of California or another jurisdiction with similar privacy laws, you may have additional rights regarding your personal information. Where applicable, we will honor those rights in accordance with the relevant law. You may contact us for more information or to exercise these rights.

We do not discriminate against you for exercising your privacy rights.

11. THIRD-PARTY LINKS AND SERVICES

The Platform may contain links to third-party websites, applications, or services. We are not responsible for the privacy practices or content of those third parties.

Your use of third-party services is subject to their own privacy policies and terms, and we encourage you to review them carefully.

12. INTERNATIONAL USERS

The Platform is intended for users located in the United States. If you access the Platform from outside the United States, you understand that your information may be transferred to, processed, and stored in the United States or other jurisdictions, which may have data protection laws that are different from those in your home country.

By using the Platform, you consent to the transfer, processing, and storage of your information in the United States and other locations as described in this Policy.

13. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top and may provide additional notice (such as on the Platform or by email).

Your continued use of the Platform after the updated Privacy Policy becomes effective indicates that you have read and understood the changes. If you do not agree to the updated Policy, you must stop using the Platform.
